Payments & Invoicing — Track Every Pound
Create invoices, record payments, track overdue balances, and generate branded PDF receipts — one source of truth for every pound.
The Cash Chaos Problem
You know the feeling. Money comes in from a dozen different directions — cash at the front desk, bank transfers, InstaPay, sometimes even a parent handing an envelope to a teacher in the hallway. The accountant has an Excel file. The receptionist has a notebook. And when you, the owner, ask "how much did we collect this month?" — you get three different answers.
Students claim they already paid. Parents swear they transferred the money last week. Receipts are handwritten on scraps of paper, or don't exist at all. When there's a dispute, everyone points fingers, and no one has proof. You end up eating the loss just to avoid the argument.
This isn't just frustrating — it's costing you real money. Uncollected fees pile up because no one is tracking who owes what. Late payments go unnoticed for weeks. And at the end of the month, reconciling everything takes hours of painful detective work across spreadsheets, notebooks, and half-remembered conversations. Payments are the number one headache for education centers, and it doesn't have to be this way.
One Invoice, One Source of Truth
With Centerly, every pound that flows through your center is tracked in one place. When a student owes money, you create an invoice. When they pay, you record the payment. It's that simple — and that powerful.
Imagine this scenario: Ahmed owes EGP 1,500 for March tuition. You create the invoice in Centerly, selecting Ahmed's name, entering the amount and due date. The moment you save it, that invoice appears in his parent's portal. His father can see exactly what's owed, when it's due, and for what.
Ahmed's father comes to the front desk and pays in cash. Your receptionist opens the invoice, clicks Record Payment, and adds a note saying "cash payment at front desk." Instantly, the invoice status changes to Paid, a PDF receipt is generated, and the parent portal updates to show the payment is complete. No arguments, no lost receipts, no conflicting records.
Every staff member, every parent, and every report in the system sees the same information. The accountant sees EGP 1,500 recorded. The owner sees it on the dashboard. The parent sees "Paid" in their portal. That's what one source of truth means — and it's the difference between running a center on trust and running it on facts.
The Life of an Invoice — From Creation to Payment
Every invoice in Centerly follows a clear lifecycle, so you always know exactly where things stand:
- Pending — The invoice has been created and is waiting for payment. The parent can see it in their portal, and your dashboard counts it toward outstanding balances.
- Paid — Payment has been recorded. The invoice is closed, a timestamp is saved, and a receipt is available for download.
- Overdue — The due date has passed and the invoice is still unpaid. Centerly automatically flags these so nothing slips through the cracks.
- Refunded — A payment was reversed, whether due to an error, a course change, or a student withdrawal.
Creating an invoice takes seconds. Navigate to Payments, click Create Invoice, select the student, enter the amount and due date, add an optional description like "March tuition — English group", and save. The invoice is immediately visible to your team and the student's parents.
If a payment was recorded by mistake — perhaps the wrong student, or a duplicate entry — you can revert it back to pending with one click. The system keeps a full history of every change, so there's always an audit trail. No crossed-out notebook entries, no erased pencil marks. A clean, digital record of every financial transaction in your center.
Branded PDF Receipts — Professional and Instant
Gone are the days of handwritten receipts or generic printouts. The moment a payment is recorded, Centerly generates a professional PDF receipt branded with your center's logo and information.
Each receipt includes your center name and logo, a unique receipt number and date, the student's name and details, a clear breakdown of what was paid, the total amount, and your center's contact information in the footer. It looks professional because it is professional — the kind of receipt that makes parents feel confident they're dealing with a well-run organization.
Staff can download receipts from the payments section. Parents can download them directly from the parent portal — no need to call the center or visit in person. And if you ever need receipts in bulk for auditing or tax purposes, you can export them through the Data Hub.
Instead of a parent calling to say "I need a receipt for what I paid last month," they simply open their portal and download it themselves. It saves your staff time, eliminates back-and-forth, and gives parents confidence that their payments are properly documented.
Overdue Tracking — No More Awkward Conversations
Let's be honest — chasing overdue payments is one of the most uncomfortable parts of running a center. You don't want to be the person constantly reminding parents about money. But you also can't afford to let fees go uncollected month after month.
Centerly takes the awkwardness out of the equation. When an invoice passes its due date without payment, it's automatically marked as Overdue. Your dashboard shows the total outstanding amount at a glance. You can filter the payments list to see only overdue invoices, sorted by how long they've been unpaid — so you know who needs a gentle reminder and who has been ignoring invoices for months.
But here's the best part: parents see overdue invoices in their portal too. There's no need for uncomfortable phone calls or WhatsApp messages. The system does the reminding for you, clearly and professionally. A parent logs into their portal and sees a clear indicator that a payment is overdue — and they can see exactly what it's for and how much is owed.
This transparency actually improves your collection rate. When everything is visible and documented, there's no room for "I forgot" or "I didn't know." Parents appreciate the clarity, and you get paid faster — without the emotional toll of chasing people down.
The Parent Portal — Transparency That Builds Trust
One of the most powerful aspects of Centerly's payment system is how it connects to the parent experience. Parents don't need to call, visit, or send WhatsApp messages to find out about their child's fees.
From the parent portal, they can see every invoice — past, present, and overdue. They can see the payment status of each one. They can download PDF receipts for payments already made. And they can see the total outstanding balance at any time.
This level of transparency does something remarkable: it builds trust. Parents feel confident that the center is well-managed. They appreciate not being surprised by fees they didn't know about. And when disputes do arise — which happens far less often — there's a clear digital record that both sides can reference.
Consider the difference: instead of a parent saying "I don't remember getting an invoice for that," they can see the exact date the invoice was created, what it was for, and when it was due. Instead of you scrambling to find a handwritten receipt, both of you are looking at the same professional PDF. That's the peace of mind that comes with a proper system — for you and for the families you serve.
