Managing Your Students
Every student's full story — enrollment, attendance, payments, grades, and parent info — in one place. No more digging through scattered files.
The Scattered Student Problem
Let's paint a picture you probably recognize. A parent calls and asks: "How much does my son owe?" You check the payment notebook — but it only goes back to October. The older records are in an Excel file on the accountant's computer, and she's not here today.
Or a student wants to switch from the Saturday group to the Tuesday group. You move them — but now their attendance history from the old group is effectively gone. Three months of data, disconnected.
When student information lives in five different places — the teacher's phone, the receptionist's notebook, the accountant's Excel, the WhatsApp group, and someone's memory — no one can answer a simple question quickly. And every time someone leaves your staff, they take institutional knowledge with them.
Centerly fixes this by giving every student one complete profile that follows them through their entire journey at your center.
One Profile, Complete Picture
When you open a student's profile in Centerly, you see their entire story at your center — not just a name and phone number.
At the top, you'll find their basic information: full name, phone, school, educational level, and which branch they belong to. Below that, you'll see their enrollment history — which groups they've joined, when they enrolled, and their current status.
Scroll down and you'll find their attendance record — every session they attended, missed, or were excused from. Next to that, their payment history — every invoice issued, every payment made, and any outstanding balance. And if they've taken exams, their grades are right there too.
Imagine this: "Ahmed enrolled last September, has attended 45 sessions with a 92% attendance rate, paid 3 invoices totaling 4,500 EGP, and scored an 87% average across his exams." You can see all of this in two clicks. No digging, no asking around, no checking multiple files.
From New Student to Active Learner
Every student in Centerly has a status that tells you where they are in their journey:
When someone first registers or you add them, they start as Pending — they're in the system but haven't been confirmed yet. Once they're enrolled in a group and ready to go, they become Active — they're attending, being tracked, and fully part of your center.
If a student takes a break — maybe for travel or exams at their school — you can mark them as Inactive. Their data stays intact, their history is preserved, but they won't show up in your active counts. When they come back, one click returns them to Active.
If there's an issue — unpaid fees, disciplinary problems — you can Suspend a student. Their portal access is revoked, but nothing is deleted. And if a student permanently leaves, Archiving removes them from active lists while keeping their full history recoverable if they ever return.
This lifecycle means you always know exactly how many students are truly active, without manually counting or guessing.
Adding Students — One by One or Hundreds at Once
Adding a single student takes about 30 seconds. Click "Add Student," enter their name and phone number, optionally add their parent's name and phone, pick their branch — done. The system takes care of the rest: it auto-creates the parent record, generates portal passwords, and links everything together.
But what about day one, when you have 200 students to add? That's where Excel import saves you hours of work. Download the template, paste in your existing roster data — names, phones, parent info, schools, levels — and upload it. Centerly validates every row, tells you if anything is missing or malformed, and imports everything in one batch.
After the import, you'll see a clear report: how many students were created, how many were updated (if they already existed), how many were skipped, and why. No black box. No surprises.
This means you can transition your entire paper roster to Centerly in a single afternoon. The Excel files you've been maintaining? They just became your migration tool.
Parents Auto-Link — No Double Entry
Here's something that saves enormous time: when you add a student and include their parent's name and phone number, Centerly automatically handles the parent side.
If a parent with that phone number already exists (because you already added their older sibling), the system simply links the new student to the existing parent record. If it's a new parent, it creates their record and links them.
This means you never need to manage parent records separately. Just add students with parent info, and the parent database builds itself. When that parent logs into their portal later, they'll see all their children — automatically, without any manual setup.
And here's the best part: when the student is ready to access their portal, you can share their login credentials directly via WhatsApp. One tap sends a pre-formatted message with their login link, username, and a magic link for one-click passwordless access. No printing passwords on paper. No "I forgot my login" calls on day one.
Find Any Student in Seconds
When you have 500 students across multiple branches, finding the right one needs to be instant. Centerly gives you powerful search and filtering that works the way your brain does.
Type a name — partial or full — and results appear immediately. Search by parent name, school, or educational level. If someone calls and says "I'm Ahmed's mother" — type "Ahmed" and you'll find him, along with his linked parent record, in seconds.
Need to see all inactive students? Filter by status. Want to see just the students at your Heliopolis branch? Filter by branch. Looking for all Grade 9 students? Filter by educational level. You can combine filters too — "Active students at Maadi branch in Grade 10" is one click away.
For center owners who deal with hundreds of students daily, this isn't a nice-to-have — it's the difference between answering a parent's question in 10 seconds versus putting them on hold for 5 minutes.
